Car Allowance

A cash payment instead of a company car, leaving employees to arrange their own mobility.

In brief

With a car allowance, employees receive money instead of a company vehicle. They arrange and pay for their own vehicle, while the allowance is taxed as part of their salary.

How does the arrangement work?

Instead of a company car, the employee receives a monthly amount, usually based on the vehicle class they would otherwise have been entitled to. They can use it to fund their own vehicle, private lease or another form of mobility. Business journeys are reimbursed separately through travel expenses.

What are the consequences for the company?

Much of the administrative work disappears: the company no longer handles procurement, maintenance, insurance or vehicle returns. It also gives up its role as vehicle keeper and control over the vehicle. It cannot specify the powertrain, equipment or age.

That is a real constraint on sustainability targets. These vehicles can no longer be managed through the company's own fleet and are accounted for differently in its emissions reporting.

What employment and tax questions need to be settled?

The allowance is generally taxable pay subject to social security contributions, so its net value to the recipient is much lower than the gross amount suggests. The agreement should also say whether the employee must actually have a vehicle, how business trips are reimbursed and what insurance applies.

Insurance for business journeys in a private vehicle is easily overlooked and should be addressed explicitly. The exact arrangement needs employment-law and tax review.
