In brief
Driver safety instruction is recurring guidance for everyone who uses company vehicles on safety-related duties. It must be provided and documented once a year and also before a vehicle is used for the first time.
What Should the Instruction Cover?
It should cover drivers' duties: pre-trip checks, reporting defects and damage, conduct after accidents, securing loads, use under the car policy, and handling a vehicle used privately. For electric vehicles, add charging, range planning, and handling the charging cable.
Who Must Receive Instruction?
Everyone who drives a vehicle for business, whether they have a company car or occasionally use a pool vehicle. The second group is often overlooked because its members do not appear on a list of assigned vehicles.
How Is Completion Documented?
The record should include the date, content, name of the instructor, and attendance of each person instructed. Traditionally this is done with a sign-in sheet; digital confirmations in a system are becoming more common.
The practical difficulty is less the instruction itself than reaching everyone. A single in-person event each year misses part-time staff, field staff, and new hires. Linking instruction to existing processes is more effective: onboarding, vehicle handover, or the first booking of a pool vehicle.
