In brief

Fleet data includes all information generated in a fleet: vehicle master data, contracts, costs, use, damage, and inspection records. It becomes valuable when brought together in one place.

Where does the data come from?

From many sources: leasing companies and dealers provide contract and vehicle data; fuel and charging card providers, energy data; workshops, maintenance history; insurers, claims data; HR systems, assignments to people and cost centers; and the vehicle itself supplies usage data through live data.

Why is bringing the data together the difficult part?

Because each source uses its own identifier. The leasing company uses the contract number, the workshop the registration number, the card provider the card number, and the HR system the employee number. Without a unique identifier used consistently, usually the vehicle identification number, the records cannot be linked reliably.

That is why every fleet data project begins by cleaning up the existing records, rather than analyzing them.

What does complete fleet data make possible?

Insights that were previously unavailable: cost per kilometer across different drivetrains, actual vehicle utilization by site, vehicles with unusually high maintenance costs, and overdue inspection deadlines across the fleet.

The value lies less in individual metrics than in the ability to support decisions with evidence. A discussion about fleet size is different when twelve months of usage data are available instead of the opinions of those involved.
