Fleet Digitalisation

Moving from scattered spreadsheets and paper files to a system with connected data sources.

In brief

Fleet digitalisation replaces manual administration with a system that brings together vehicle data, deadlines and records. What matters is not just the software but where its data comes from.

What actually gets digitalised?

Three things, in sequence. First, documents: contracts, invoices and inspection records move from binders and inboxes into a digital vehicle file. Next, workflows: deadlines, approvals and bookings are handled in the system rather than by email. Finally, data sources: odometer readings, costs and contract details arrive through integrations instead of manual entry.

Why is the third step often missed?

The first two bring visible progress, while the third requires coordination with outside parties. But if staff still have to type in data, a system merely moves the work instead of reducing it. For each implementation, ask which source will supply which data automatically, and from when.

Why do projects fail in practice?

Usually because of the existing data, rather than the software. If vehicle lists, contract files and driver assignments contradict one another, the conflicts become visible during migration and have to be resolved. That takes time that is rarely planned for.

Driver acceptance is the other issue. A system that demands more input from drivers without making their work easier will be bypassed. It therefore helps to start with functions that benefit them directly, such as damage reporting and vehicle booking.
