In brief
With fleet management as a service, an external provider takes on operational tasks such as procurement, claims handling, and invoice review. The contracting company remains responsible as the vehicle owner (Halter).
What Does a Fleet Management Provider Handle?
The scope of services can be assembled as needed. Common services include tendering and ordering vehicles, checking contracts and invoices, coordinating workshops, claims management, tire logistics, and reporting. Some providers also give drivers a dedicated contact person.
What Remains With the Company?
The role of Vehicle Owner cannot be outsourced. Tasks such as driver’s license checks, Driver Safety Instruction, and UVV inspections may be assigned to a provider for execution, but responsibility for their completion stays with the company. The same applies to fleet strategy: fleet size, choice of powertrain, and car policy are business decisions.
When Is This Model Worthwhile?
Outsourcing makes sense when the fleet is too large to manage as a secondary task but too small to justify a dedicated department. One benchmark is the number of vehicles per full-time administrative employee: without knowing this figure, a company can neither assess a provider’s quote nor calculate the cost of doing the work itself. A clean handover of data also matters. If vehicle and contract data are scattered, every engagement begins with building an inventory at the company’s expense.
