Fleet Management Software

A centralized system for vehicle data, deadlines, costs, and documentation related to a fleet.

In brief

Fleet management software is an application that manages vehicles, drivers, contracts, costs, and inspection deadlines all in one place. It eliminates the need to keep this information scattered across spreadsheets, email inboxes, and paper files.

What Does Fleet Management Software Do?

At its core is a vehicle record that consolidates master data, contracts, costs, and documents for each vehicle. Built on top of this are features such as deadline tracking for Hauptuntersuchung und Abgasuntersuchung and UVV-Prüfung, Führerscheinkontrolle, Schadenmanagement, reports, and—depending on the provider—the booking of Poolfahrzeug.

How Do the Systems Differ?

Three types of systems are common. Management systems track data and deadlines without requiring a technical connection to vehicles. Telematics systems operate from the vehicle side and provide Live-Daten, but they rarely cover contracts and costs. Modular platforms combine both and can be tailored to actual needs.

A second distinguishing feature is the interfaces: to lessors, fuel and charging card providers, repair shop networks, HR systems, and accounting.

When Is a Spreadsheet Enough, and When Do You Need Software?

The spreadsheet itself isn’t the problem; rather, it’s the number of vehicles and stakeholders beyond which it reaches its limits.

Criterion Spreadsheet Fleet Management Software
Deadlines Someone must set and track reminders Generated automatically for each vehicle and person
Multiple Users Versions become out of sync Simultaneous access with roles and permissions
Documentation Document is outside the spreadsheet Stored with the vehicle or the person
Data Source Manual entry, data entry errors Interfaces to leasing, cards, and vehicles
Analysis Created manually as of a specific date Available at any time across the entire fleet
Changes Not traceable Logged and assignable

What matters most when choosing a system?

The decisive factor is not so much the range of functions as the question of what data the system receives without manual maintenance. Software that requires the same odometer readings and invoice line items to be re-entered simply shifts the workload elsewhere. Therefore, check early on which of your existing partners are connected via interfaces and how inventory data is imported.
