In brief
Fleet task management organizes recurring work involving vehicles and drivers, from inspection deadlines to damage claims. Unlike a simple task list, tasks arise directly from vehicle and driver data.
Which tasks arise in a fleet?
Recurring tasks follow deadlines: UVV inspection, periodic vehicle and emissions inspections, driving licence checks, driver safety instruction, tyre changes and contract expiry. Event-driven tasks follow incidents: damage reports, driver changes, defect reports and new vehicle procurement.
Why is a calendar not enough?
Because someone has to maintain it. Every deadline must be entered manually, and every change updated manually. With fifty vehicles and as many drivers, several hundred appointments arise each year, each of which would need to be created separately.
If a task is generated from a record, such as a vehicle’s inspection date, it appears as soon as the vehicle enters the fleet and disappears with it.
What makes the difference in day-to-day work?
Assignment and escalation. A task with no owner remains undone; one with no reminder is forgotten. The system becomes effective when everyone can see which tasks are open, who is handling them and which are overdue.
There is also a benefit for audit records: if completion is documented, the compliance evidence is created as the work happens instead of being reconstructed at year-end.
