In brief
A pool vehicle is shared by several employees and booked as needed. It is not permanently assigned to one person and is generally used exclusively for business purposes.
What is the difference between a pool vehicle and a company car?
The assignment, and therefore the tax treatment. A company car is assigned to one person and creates a taxable benefit in kind when private use is permitted. A pool vehicle used exclusively for business does not.
The exclusively business use must be verifiable. Common measures include booking records, issuing keys at the site, and a ban on private use in the Car Policy. The specific requirements should be agreed with a tax adviser.
Pool vehicle or company car?
The distinction affects taxes, recordkeeping, and organization.
| Feature | Pool vehicle | Company car |
|---|---|---|
| Assignment | Changes with bookings | Permanently assigned to one person |
| Private use | Generally excluded | Usually permitted |
| Tax consequence | No taxable benefit in kind if used solely for business | Taxable benefit in kind if private use is permitted |
| Data needed | Booking and usage records | Gross list price, distance to regular workplace |
| Compliance | Checks and training for all users | For the assigned person |
| Utilization | Spread across several people | Tied to one person |
When is a pool worthwhile?
When many people need vehicles irregularly. Rather than several rarely used vehicles assigned to individuals, a smaller pool covers the same need because usage times overlap. The economic benefit depends directly on vehicle utilization: only above a certain booking frequency does a pool pay off compared with individual assignments or rental cars.
What needs to be organized?
Four things: who may book, how keys are handed over, how condition is recorded on return, and how odometer readings enter the system. In practice, the third point often remains unresolved, so damage is only noticed by the next user and can no longer be attributed.
Compliance adds another task: as the group of users changes, driver's license checks and driver training must be documented for everyone, not just a fixed group.
