In brief
Pool vehicle management covers the booking, assignment, handover, and analysis of vehicles without permanent assignments. Its goal is high utilization while keeping vehicles reliably available.
What tasks does it include?
Employee bookings, assignment of a suitable vehicle, handover of keys or access, recording the odometer reading and condition on return, and analyzing use. Maintenance scheduling and blocked periods are also part of the process.
Why does Excel quickly become a bottleneck?
Because a booking list does not track vehicle status. It shows who booked a vehicle and when, but not whether it has been returned, what its odometer reads, whether damage has been reported, or whether the person booking has a valid driver's license check on record.
As bookings increase, double bookings occur, and questions about keys and availability take more time than the bookings themselves.
What makes a system effective?
Connecting bookings with vehicle access. If a booking activates access, handing over keys is no longer a bottleneck and usage times are recorded automatically. The same data shows vehicle utilization for each vehicle and location, providing a basis for deciding whether the pool is too large or too small.
Another lever is the assignment logic: assigning vehicles by class and need instead of letting users freely choose spreads mileage more evenly across the fleet.
