Vehicle Handover Report

A documented assessment of a vehicle's condition at handover and return.

Reading time: 2 minutes

In brief

A vehicle handover report records a vehicle's condition, mileage, equipment, and accessories at the time of handover. It serves as evidence in the event of later damage and at return.

What is documented?

Odometer reading; exterior and interior condition, including existing damage; tires, including a second set of wheels; equipment provided, such as a spare key, charging cable, warning triangle, first-aid kit, and fuel card; and vehicle documents. The date, names, and signatures of both parties are also included.

Photos of all four sides and the interior are now standard and more informative in a dispute than any written description.

When is it needed?

Whenever the vehicle's condition needs to be recorded: at initial handover, a change of driver, an extended absence, or return to the lessor. Without a report, it may be impossible months later to establish whether damage occurred before or during the period of use. At a lease return, that question determines whether diminished-value charges apply.

What details belong in the report?

  • Vehicle data: registration number, vehicle identification number, initial registration date
  • Odometer reading and fuel or charge level
  • Exterior condition with existing damage, plus photos of every side
  • Interior, upholstery, and glazing
  • Tires with tread depth, second set of wheels, and where it is stored
  • Accessories: spare key, charging cable, adapter, fuel or charging card
  • Safety equipment: warning triangle, high-visibility vests, first-aid kit with expiry date
  • Vehicle documents: registration certificate Part I, service booklet, owner's manual
  • Date, names, and signatures of both parties

Why is it often skipped anyway?

Because handovers happen under time pressure, often in a parking lot with no form at hand. The report is then submitted later, signed without a joint inspection, or never created.

It works only when completed at the handover location, so it needs to be fillable on a mobile device, capture photos directly, and allow signatures on the device. The same principle applies on a smaller scale to pool vehicles: a brief condition check at return, linked to the booking.
