Automation Workflow

Using an automation workflow, fleet managers can specify when a task or process should be triggered—for example, at regular intervals, on a specific date such as a lease expiration, or as soon as an event occurs, such as a status change. Fleet managers also determine for which vehicles or users this applies and what happens next—whether a new task, an email, or both. The AZOWO Mobility Cloud then continuously monitors the defined conditions in the background and responds automatically. Additional templates are available for common scenarios such as vehicle inspections (HU/AU), UVV inspections, or seasonal tire changes.

Use Cases

Here's how you can automate your fleet in so many ways

  • Annual Inspection

A HU is coming up: A task is automatically generated in advance for the assigned driver, including a reminder.

  • Service by Mileage

When a vehicle reaches the specified mileage, a task for the next service inspection is automatically created, without the need for manual odometer checks.

  • Summer/Winter Tire Change

At the start of the new season, a task is automatically created for all affected vehicles, so no one has to keep track of the dates individually.

  • End of Lease

When a lease agreement expires, the vehicle must automatically be returned in a timely manner before the due date.

  • UVV Inspection for Drivers

The recurring UVV inspection is automatically created as a task for each driver at the appropriate time.

  • Mileage Reporting

To regularly update the electric vehicle mileage in the system, a task is sent only to the relevant individuals, instructing them to update their mileage weekly.

  • Inspection of Charging Cables

For the electric vehicle fleet, regular inspections of the charging cables can be triggered automatically.

  • And many other processes

Car washes, air conditioning maintenance, and other recurring or condition-based processes can also be automated.

Save time

With the AZOWO Mobility Cloud, you can save up to 13 hours of valuable time each month by automating your tasks

Every automation workflow follows three simple steps.

That's how simple the automation workflow is set up

  • Select a promotion

First, you determine what triggers the workflow: at regular intervals, such as every three months; on a specific date, such as the end of the lease; or as soon as an event occurs, such as a change in the vehicle's status.

  • Set Conditions

Next, you define which vehicles or users the workflow should apply to—for example, only a specific vehicle type or a single company within the fleet.

  • Select follow-up actions

Finally, you specify what should happen once the conditions are met: a task for the assigned driver, an email to fleet management or a user group, or both at the same time.

Why Automation Is Becoming More Important in Fleet Management

Administrative burden
More than half of fleet managers’ working hours are spent on driver support, compliance, reporting, and other administrative tasks—time that is not available for strategic tasks.
Increasing Complexity
More than 80 percent of fleet managers report that their jobs have become significantly more time-consuming in recent years, with larger fleets, more regulations, and more coordination.
Automated processes are becoming the norm
Automated maintenance planning, digital claims processing, and seamless data exchange between systems reduce the workload on dispatchers and significantly lower administrative costs
Regulatory pressure is also increasing
The CSRD Directive makes sustainability and CO₂ reporting key issues in fleet management, which further emphasizes the importance of comprehensive, automated documentation of processes.
Cost Savings Through Data-Driven Management
Data-driven fleet management can reduce total cost of ownership by 10 to 15 percent

Automation FAQ

  • Automation means that recurring fleet management tasks—such as deadline tracking, task assignment, and notifications—no longer need to be handled manually but instead run automatically in the background as soon as certain conditions are met.

  • Automation is particularly useful in situations where appointments or deadlines recur regularly, such as for vehicle inspections, UVV inspections, lease expirations, or seasonal maintenance tasks like tire changes.

  • No, you can configure an automation workflow yourself in just a few steps, without any programming knowledge. There are also ready-made templates available for the most common use cases.

  • A calendar entry must be maintained manually and processed further when triggered. An automation workflow automatically detects the relevant condition and directly triggers the appropriate action, such as a task or an email to the right person.

  • Fleet managers spend a significant portion of their work time on administrative tasks. Automation alleviates the workload in this area because recurring processes no longer need to be actively tracked.
