AI-Powered Document Management and FlexxDoc

The AI-powered module automatically captures, classifies, and stores documents. Relevant fields from invoices, registration certificates, traffic violation notices, and other document types are recognized, extracted, and filed into the appropriate folders. The extracted data and documents can be edited within the process, ensuring flexible, efficient, and transparent management of all documents. With the FlexxDoc module, custom forms, reports, and contracts can be uploaded as templates so they can be quickly and easily populated with data from the AZOWO software.

Management of Fuel, Parking, and Charging Cards and the Charging Log

Manage all fuel, parking, and charging cards centrally, systematically, and error-free in one place. Thanks to integration with ryd, digital fuel cards can be used directly through the AZOWO Driver App at over 8,000 gas stations across Europe. No more receipts or paperwork—transactions are recorded automatically. The digital charging log for electric vehicles records every charging session, distinguishes between personal and business charges, and generates receipts for electricity charged at home. Each month, fuel data is automatically imported into the system by the fuel card provider, and the costs and kilometers are assigned to the vehicle.

Digital Claims Management

The solution efficiently tracks and manages claims and breakdowns. With real-time status updates and digital claims files, you can keep track of all processes at all times. Users can report claims at any time via the app or the web portal; tasks can be managed efficiently, and costs can be analyzed at the driver and vehicle levels.

Procurement Process and Car Configurator

The customizable procurement process enables a standardized approach and eliminates unnecessary steps. A structure defined once determines the process for every procurement and concludes with the activation of the vehicle in the fleet. With the AZOWO Car Configurator, guidelines can be mapped, and preselected vehicles can be made available to selected user groups. This ensures that employees can only configure and order vehicles that comply with internal specifications. This reduces sources of error, speeds up approval processes, and ensures greater transparency and efficiency in vehicle procurement.

Communication Management

The platform enables efficient communication within the fleet via chat, email, and push notifications. Drivers and administrators benefit from fast, seamless coordination. Localized language versions ensure that all users are fully integrated. As a result, the modules improve collaboration, increase user satisfaction, and streamline processes, while information remains centralized, structured, and available at all times.

Driver App

The driver app consolidates all relevant functions for managing the assigned company vehicle on mobile devices. Fuel, parking, and charging cards are stored with all important data; the mileage is visible and can be adjusted as needed. Company contact information is available, damage can be reported directly, and driver training can be completed. Upcoming tasks are visible and can be created as needed; documents can be uploaded or accessed, and tires can be managed.

More Information About the Driver App

Admin App

The AZOWO Admin app allows users to access the platform on mobile devices such as tablets or smartphones, enabling flexible, location-independent fleet management. With the app, administrators can manage their fleet at any time: end or extend rental periods, update odometer readings, lock and unlock vehicles directly via telematics, view rental details, and respond to driver inquiries or requests for adjustments—all without having to use a computer. In addition, the current ignition status and telematics connection of the vehicles can be monitored at any time.

Tire Management

Tire management allows you to organize tire sets and tasks centrally and efficiently. Tire specifications are synchronized via the DAT query, saving time and resources. Features such as inventory management, vehicle assignment, status monitoring, cost management, and tire pressure reminders enhance safety, sustainability, and efficiency. Progress in procurement, installation, and disposal is clearly displayed, and current tire models can be selected via a drop-down menu.

Automated Tasks

Automated tasks enable the efficient planning, management, and monitoring of all fleet operations. These tasks can be customized and triggered when a predefined value or event is reached. This means you only need to set them up once, and subsequent actions are triggered automatically. This is useful for preventing fuel card fraud and helps ensure that regular processes—such as service appointments, vehicle cleaning, and tire orders—are reliably organized.

FAQ on Organizational
Management

  • Fleet management involves the control and coordination of all recurring administrative processes related to vehicles, documents, and tasks—from claims processing and document management to the procurement of new vehicles. The goal is to replace manual, often paper-based processes with structured, digital workflows, thereby reducing sources of error.

  • Among the most commonly automated processes are document capture and classification, triggering recurring tasks such as service appointments or tire changes, damage reporting and processing, and internal communication between fleet managers and drivers. Automation comes into play wherever events (e.g., reaching a certain mileage) are intended to trigger a follow-up action based on rules.

  • Without structured processes, traffic fines and damage claims result in a high level of manual effort, as assigning them to drivers and vehicles, tracking deadlines, and allocating costs often have to be done manually. Organized management of these cases ensures legally compliant documentation, faster processing, and a clear overview of costs at the driver and vehicle levels.

  • Digital document management ensures that contracts, invoices, registration certificates, and other documents are stored centrally, are searchable, and are automatically assigned to the correct vehicle or user file. This reduces the time spent searching for documents, prevents documents from being lost, and lays the foundation for complete traceability, for example during audits or insurance claims.

  • Mobile apps for drivers and administrators make it possible to manage organizational processes even while on the go—such as reporting damage directly on-site, viewing tasks, or updating vehicle data—without having to rely on an office workstation. This shortens response times and ensures that information is entered into the system promptly and accurately, rather than being added later with a delay.
