Pool Fleet Management: Centralized Control of Reservations, Utilization, and Costs

Fleet vehicles and corporate car-sharing are a cost-effective alternative to traditional company cars. But anyone coordinating multiple vehicles used by different employees quickly reaches the limits of manual processes. Double bookings, a lack of transparency regarding usage and costs, and unclear responsibilities: Managing a vehicle fleet without digital support costs time and money.

The AZOWO Mobility Cloud brings order to the vehicle fleet: with an intelligent booking algorithm, real-time data, and automated reports—all as part of a well-designed digital fleet management system.

The Biggest Challenges in Managing Fleet Vehicles

  • Piktogramm Kalender

    Avoid
    duplicate bookings

Without centralized booking management, conflicts can quickly arise: Two employees reserve the same vehicle, the process comes to a standstill, and the effort required to resolve the issue manually increases.

  • Piktogramm mehrere Fahrzeuge und ein Häkchen

    Tracking
    Vehicle Utilization

Having too many vehicles results in unnecessary fixed costs, while having too few slows down operations. Without data on actual usage, it is difficult to optimize fleet size and deployment.

  • Piktogramm Schloss

    Organizing
    Key Management

Physical keys get lost, are given to others, or aren't returned on time. This wastes time and poses security risks.

  • Piktogramm Dokument und Euro Zeichen

    Allocate
costs according to the "user pays" principle

Which department uses which vehicle, and how often? Without automatic tracking, cost allocation remains inaccurate and budget control is incomplete.

  • Piktogramm Schutz

    Ensure
    Compliance

With shared vehicles, drivers change frequently. It is nearly impossible to reliably verify manually that all users are authorized and that the vehicles are insured.

  • Piktogramm Werkzeug

    Coordinate
    Maintenance and Availability

Multiple drivers, one vehicle: Maintenance schedules are ignored, and damage goes unreported. Unplanned breakdowns affect the entire fleet.

Here's how our software supports fleet management

  • Employees reserve vehicles via the web or app, and AZOWO’s vehicle-class-based algorithm automatically assigns the appropriate vehicle based on route, availability, and specific features. This is exactly how corporate carsharing works in day-to-day business operations. Double bookings are now a thing of the past. Users can book multiple vehicles at the same time, select specific models, and reserve time slots in advance.

    How the Booking Algorithm Works
  • Managing physical keys takes time and involves risks. AZOWO integrates various keyless access solutions: Vehicles can be unlocked using the driver app, RFID, or a PIN code.

  • Not every vehicle can be operated entirely without a key. For these cases, AZOWO offers the integration of key cabinets that can be opened flexibly via smartphone, PIN code, or RFID. Through our telematics partners Traka, Masunt, and Witte:digital, we can integrate the right solution based on your fleet structure and vehicle type. Vehicle check-out and return are automatically logged, and access rights are managed centrally.

  • The scheduling view provides fleet managers with a complete overview at all times: which vehicles are booked, available, or overdue, and which rentals are active, scheduled, or completed. Comprehensive filter options by location, vehicle class, and time period enable targeted analysis and proactive planning.

  • AZOWO’s Live View provides a real-time view of the current location and operating radius of all fleet vehicles. Adjustable geofencing prevents misuse, and the display is implemented via Yellowmap in compliance with works council regulations and data protection standards. This allows you to optimize utilization and proactively plan maintenance intervals.

  • For company-owned vehicles, tax law requires a clear distinction between business and personal trips. The digital logbook automatically records all trips using OEM data or a dongle, documents them in a manner that complies with tax authority requirements, and reduces the manual workload for both drivers and fleet management.

  • Which department uses which vehicles, and how intensively? Automated reports provide precise utilization and cost data in real time, which can be customized and exported. The TCO module clearly displays all relevant costs and identifies areas for potential savings.

FAQ: Fleet
Management

  • The vehicle-class-based booking algorithm automatically assigns an available vehicle to each request. Employees can book via the app or the web without the need for manual coordination. The system excludes vehicles from the selection as soon as they are reserved or in use.

  • AZOWO supports various keyless access solutions: Vehicles can be unlocked using a driver app, RFID, or a PIN. For fleets that rely on physical keys, AZOWO also offers integration with key cabinets from its partners Traka, Masunt, and Witte:digital.

  • The scheduling view in AZOWO shows in real time which vehicles are booked, available, or overdue. Automated reports provide utilization data by vehicle, department, and time period. Based on this information, the fleet size can be adjusted as needed.

  • The AZOWO Mobility Cloud automatically collects usage data and assigns it to the respective driver or the department that made the reservation. The TCO module supplements this data with total costs per vehicle, ensuring that budget control is based on reliable data.

  • Fleet management and corporate carsharing essentially describe the same concept: Vehicles are not permanently assigned to a single person but are available for shared use by multiple employees. The difference lies more in the context. Fleet management is the traditional term used in the corporate fleet sector and describes the organizational management of a vehicle pool within a company. Corporate carsharing places greater emphasis on the digital booking process and flexible, on-demand use—often across multiple locations and with an app-based access solution. The AZOWO Mobility Cloud supports both approaches: from a simple internal vehicle pool to cross-location corporate carsharing with keyless access and automatic vehicle assignment.
